What is Check-in Scan?
Check-in Scan is a Spanish-based tech company.
It was created in response to legal obligations to provide guest data to the authorities. This must be completed within 24 hours of the guest's arrival at the vacation property.
Additionally, the obligations require a signed 'traveller share' or guest record registration form. This must be kept in a book or file for each property for the next 3 years.
With Check-in Scan you can streamline this check-in process by automatically sending your guests' information to the local authorities.
Check-in Scan creates an efficient and contactless check-in process, by scanning guest documents and automatically sending these records to local authorities.
Connection process Bookster to Check-in Scan
- Copy the API Key from 'Account / API Key' in Bookster
- Paste the API Key into a new account with Check-in Scan
- Select the properties to connect
- You're all set up!
New booking information is pulled from Bookster into Check-in Scan.
Check-in Scan guest communication process
Check-in Scan completely automates your guest communication to comply with legislation.
Once a booking is received in Bookster, Check-in Scan emails your guests to request data.
The data requested varies depending on your local authority but usually includes:
- Name
- Date of birth
- Nationality
- ID
- ID issue date
- Signature.
The letters can be left as default or you can adjust them to suit your brand.
In total, Check-in Scan will send a maximum of two emails. Once Check-in Scan receives the data, no more emails are sent to the guest.
If the guest does not send their information, Check-in Scan will send you a message to follow up with your guest.
The guest data is automatically sent to the police. This can be seen in the police records.
Please note that Check-in Scan cannot process Airbnb bookings as Airbnb does not provide the email address.
You can see the Traveller Report with the guests' information. These are kept on file for 3 years then deleted.
This service is currently in Spain and Portugal.
