New Feature: More In Booking Excel Export

Get all booking info into your systems

As well as allowing more details to be stored with each booking, we have also added more columns to the bookings list Excel export.

The following columns are now included as part of the Excel export:

  • Outstanding balance
  • Party size
  • No. of extras
  • Arrival time

Your booking info in one place

Bookings in Bookster and Bookster Pro now allow the storage of some additional information.

This allows for use of Bookster / Bookster Pro as more of a management tool.

  • Arrival time
  • Departure time
  • Security deposit received
  • Security deposit refunded

Look for the "management" link when viewing a booking in the console.

Record Bookings

Bookster users can now add bookings from 3rd party sources.

This allows the use of Bookster as a management tool to record all bookings.

We have provided a form in the secure console that:

  • suggest a price from defined rates;
  • allows the displayed price to be overridden;
  • allows the collection of customer details;
  • displays a selection of extras.

New Feature: Two Month Calendar Widget

We try to listen to our users and a number have now requested a narrower version of our embedded calendar widget.

The Bookster widget can now fit neatly into smaller width websites using the "two month wide" widget. The HTML code has been added into the console for Bookster users to easily utilise.

Free Promotion of a Self Catering Website

Bookster users are always asking us how to increase traffic to their site, there are many free methods to promote your website that complement the paid for methods (e.g pay-per-click banners or commission based directories) - below I will look at some ways to get your website out there and prospective customers visiting it.

I would not recommend using free methods alone, but it is a good way to start. I will address paid for methods in another blog post.

For the experienced holiday home owner, the following advice may be obvious, but for those slightly less confident about promoting their site online, read on...

So you've got your holiday property website up and running, with Bookster ready and waiting to take those bookings but how do you go about getting people to find your site?

Search Engines

The most powerful way to get visitors

Submit the URL (domain) of your website into the popular search engines to ensure your site is being "indexed" and will show up when users search for it:

Content (Blogs etc.)

Content is tied closely to search

The only way to be seen above the crowd on search engines is to have fresh and relevant content.

The way to consistently attract traffic above and beyond your competition is have better content than them.

Start blogging on what is great about your holiday home:

  • attractions
  • events (sports, theatre, festivals etc.)
  • walks, cycle paths etc.

Free Directories

Linking from popular directories can only help

Take advantage of the directories that give you the ability to get links back to your site for free.

Public Photos

Show off your pictures of the area

Having great photographs of your property and surrounds is essential for your website - it is one of the main drivers for people sending you an enquiry or making a booking.

I am sure your photographer (or you) has taken great pictures of your properties... make sure he/she takes some of the surrounds of your properties - post them to popular photo sites with links to your site:

Newsletters

Keep reminding people you exist

Many of your bookings will come from repeat stays, collect email addresses and regularly email your previous guests.

Ensure you put a form on your web site to get people to sign up to your news letter (just as we have done for Bookster!)

Keep your eye on the new search

You probably hear term "Social Media" cropping up all the time, and with social media you really get out what you put in.

It can bring you instant, relevant visits so here are a few to get you started.

Times Online: Let the good times roll

I spotted an interesting article from the Sunday Times by Cherry Maslen on letting your holiday home.

"Despite recent tax changes, buying a holiday rental in Britain can be a smart move, says Cherry Maslen"

A couple of highlights:

"The market has dropped substantially in some of the second-home areas that had the biggest bubbles. Prices in Devon are down by 24% from the 2007 peak and those in Cornwall by 21%, according to research by Savills estate agency, based on its own sales figures. Although the prime coastal spots will have held up better, almost nowhere is immune. The Cotswolds, for example, recorded an 18.6% fall; in Suffolk, Norfolk and Dorset, prices were down by 15%."
"... he [Ross Elder, Holiday Lettings] reports an increase in bookings for both country cottages and city flats, he says that both are trumped by the seaside, because people tend to stay longer and return the following year if they like it."

Building Your Holiday Property Website: A Beginners Guide

Bookster is designed to capture your bookings online, but it really needs a slick website to sit on.

Why Is It Important?

When setting up your holiday home(s), one of the obvious steps is to set up your own web site, but why is it important to get your own website and get it right?

From our experience running our own and client directory sites, we have found that surfers are constantly looking to get to the original source.

You have probably done it yourself, browsing Expedia or Travelocity, you find a hotel that you like the look of and immediately try to find the hotel's own website by typing it into Google. many of your surfers will behave in exactly that way and you can greatly increase your chances of capturing them directly if you have a highly visible website.

Say Things In Your Own Way

This is your opportunity to represent your holiday home(s) in the way that you want to.

Styling and content can both be explicitly specified by you without any interference from 3rd party companies.

Track Interest

If you have your own web site you can track interest in your property knowing that there is no spin being put on it from a 3rd party web site. See what people are search for and where in the world they are searching from.

Building A Site From Scratch

If you are planning to build your own, unique website from scratch, you will need to think about following steps:

  1. Purchase a domain name - e.g.:
  2. Basic Site Structure - before contacting a web developer, make a quick note of the pages your would like on your site - be as specific as you can. (e.g. homepage, availability calendar, gallery, weather etc.)
  3. Web Developer - personal recommendations are important and remember that you are likely to need to build up an ongoing relationship with your web developer (or "Webmaster") as they are likely to be responsible for making changes to your site in future - e.g.
  4. Graphics - if you are really serious about getting a slick site up there you may need to employ the services of a graphic artist.
  5. Photography - for property web sites, having top quality images is extremely important, most potential guests will use this as the primary method for assessing your property. Ensure that you get top quality images taken of your holiday home(s) and you will be able to use them over and over again when promoting your property elsewhere.

Instant Web Sites

The quickest way to getting a web site up and running is to use an online, instant template.

Sometimes it is quicker and easier to use tried and tested sites built for holiday homes - there are a few out there and it is certainly a more cost effective route.

Content Management Systems

A Content Management System (CMS) will typically be installed and set up by your web developer and allow you to manage the news, blogs, static content etc. on the web site on your own, depending on how confident you are!

There are a number of CMSs in common usage and many themes (free or paid) that you can take advantage of to avoid commissioning a bespoke graphical design.

We have been working hard to get to a point where we can accept accounts for owners and managers of multiple holiday properties and we are really pleased to announce that multiple property support is now live!

The survey was to measure the effectiveness of independent travel web sites (e.g Travelocity or Expedia).

More travel reservations online in 2008

"The study finds that 70 percent of travel reservations were booked online in 2008 - up from 53 percent in 2007"

Customers would prefer to book direct

"When consumers don't believe they're getting the best deal using an independent site, they either go directly to the branded site or they concede to use an independent site, but are less satisfied with their experience"

In other words, they are looking for the hotel, B&B, apartment or cottage's own web site.

Holiday Property Booking Software - The Pros and Cons

Clearly, on this site I am going to "big up" the pros of live online booking, but hopefully I can be impartial enough to give some of the pros and cons of both approaches to generating bookings through your property (or properties) web site.

Pros

We think live booking is the future so here are some of the general benefits of having live booking on your web site.

Open 24/7 worldwide

Open yourself up to guests from the other side of the world, booking via your web site while you are tucked up in bed!

If, for whatever reason you can't answer the phone or respond to an email in time, you can still accept confirmed bookings

Overcome the barrier of foreign language speakers booking your property - even if your booking system is not translated, it is easier for a foreign language speaker to make a booking via the web than over the phone.

Give the customer what they are looking for

Surfers are most likely looking to find a price, availability and make a booking. Live booking will satisfy their need and improve their overall experience of your web site.

Users are highly goal-driven on the Web. They visit sites because there's something they want to accomplish -- maybe even buy your product. The ultimate failure of a website is to fail to provide the information users are looking for.

Conversion

If someone does not get that instant satisfaction from your site, they are going to look elsewhere while they await your response... by the time you get back to them, the booking could be lost.

Customer service

How happy would you be if you needed to request availability and wait for an email or phone call back when you booked a train ticket, hotel or theatre ticket?

It is not rocket science - you will be providing better customer service by giving the ability to book there and then.

Pricing

Alter your rates simply, so be more price sensitive and increase your occupancy.

Fill a difficult gap period to fill or an awkward last minute spot in low season.

Cons

I don't like to admit it but there are some down sides to providing live bookings on your site.

Even if you do go ahead and set yourself up with a live booking service such as Bookster, you should be aware of these implications and prepare for them.

Double Bookings

You are more likely to get double bookings if you have your property available to book live.

If you accept a booking over the phone you are not always going to be sitting at your computer to block the dates off on the property booking software. This leave a window of opportunity for double bookings

Guest Vetting

There is no opportunity to vet guests before they punch in their credit card and pay you a deposit. If you subsequently discover it is a stag or hen party that you would rather not stay you might find it difficult to explain, even if you have put this in your terms and conditions.

Calendar Management

This can become a big issue for property managers, yet another calendar to keep up to date, do you really have time?

In time Bookster will try to help out by allowing the publishing of rates and availability into 3rd party directories but in the mean time there is that little extra administration to do.

Clinching the Deal

When you are on the phone or even communicating by email, you may be able to sense a little bit of wavering and there is the opportunity to throw in a nice extra or lower the price to encourage someone to book. Clearly this is not possible to do if someone is surfing your site and simply looking at your prices.


Whatever approach you take, there is no right or wrong answer to how "live" your booking method is.

Our aim with Bookster is to give you the easiest possible way to try out the live approach without committing to a large set up fee or a lengthy contract.

A new "extras" link will appear when editing a property within the Bookster Administration console.

Property managers are able to define extras on a:

  • per night; and
  • per booking basis.

Extras are presented to customers to select in the booking process.

I spotted an interesting article on Cottage Blogger relating to potential customers that waste property owners precious time.

Placing online booking on your property web-site is one way to cut down on...

"...hours on the phone and in emails with a prospective renter, only to find they never contact you again."
Bookster mitigates these problems by:
